Finding the Right Record
Searching the SCILS Database
First check SCILS database to make sure a record is not in the system.
Make sure the default for your search is “ALL LIBRARIES”
You need to do all three of these searches before trying to obtain a record.
What to do if a record exist in SCILS
If you find a record in SCILS, add your holdings to the existing record. You can enhance record with more tags or replace the record with a better record following all MARC and SCILS Standards. Improving cataloging encouraged. Everyone in SCILS wants the best database.
If record is in the system but owned by another college, the MARC Record needs to be searched in OCLC and “Holdings Updated” in Connexion or “Holdings Posted” in Smartport.
How to look for records
MARC Records can be searched and exported from Connexion or Smartport or gotten from a vendor.
Copy Cataloging Standards
Bib_Lvl
In order of preference use the following type of OCLC records:
- (blank)
- l
-4
*if none of the above records are available you must edit the record bringing it up to a full level marc record.
Use a DLC (Library of Congress Record) when available.
Use the following fields to verify you have the correct record:
100 field – main entry
245 field – title
260 field – publisher and copyright
300 field – physical description
650 field – subject headings
Export record to WorkFlows.
Once the record has been imported to WorkFlows edit the record to local specifications such as:
090 field - local LC call # (example: LC823 .D49 2007)
099 field - local free text call number (example: PB Sparks)
690 field - local subject headings.
