Discarding or Withdrawing Records
General overview
Items will be discarded using the “Checkout” wizard in the Circulation module. This puts them into the discard location and allows information to be captured.
Do not change the location to “Discard” using a cataloging wizard.
Do not delete an item record/title using “Remove Title….” Wizard unless item falls into one of these categories
· Item was added by mistake
· Item is a dummy item like used for on-order, magazines, eBooks, or websites
· Item is a phantom item (not sure that it existed) and had no check-outs and do not want it to count toward discard statistics
A Discard User is set up using a college’s initials and the word discard unless it has been changed locally. Example TCLCDISCARD
If a discarded item is the last item on a bibliographic record, the bibliographic record will be deleted with the item.
Follow local procedures to process the discarded items
Reports
Reports concerning the discard items are run on the first of each month.
Administrative reports
· Convert Discard Items- discharges items from Discard patron and puts temporary in discard location until removed.
· Remove Discard- deletes all discard items unless the items have unpaid fines or holds on it.
User reports
· List Discards- lists discard titles with information useful for collection development like circs and the OCLC number for removing holdings in OCLC.
