Summary of SCILS Projects Completed

Correct title indicators for initial articles

If the indicator is incorrect in title MARC Fields (245, 246, 440, 490, 740, 830), it can hinder access to titles.  Crystal has corrected 366 titles with incorrect indicators.  Schools should check to make sure proper indicators are included in these fields since improper indicators compromise access to titles.

Completion of reserve course cleanup project

SCILS had 849 Reserve courses to begin with in April, but 567 those were not formatted correctly or should not have existed at all. 381 incorrect courses were deleted and 186 courses were corrected, so that now there is 468 courses left that are formatted correctly.

Old Reports Purged in Workflow

Workflow was purged of 13,631 older reports.  This helps speed up the process of report retrieval and is encouraged by Sirsi to be completed on a regular basis.

Removal of call numbers with no items

There were 3825 call numbers with no items in the SCILS database that had to be cleaned up.  These had to be looked at individually and deleted or the library contacted to correct the record.  Common problems were “On order” titles were incorrectly checked in, Title was under serial control, item was not properly discarded or cancelled. 

Cleaned up current serial control

There were 2464 records that needed to be cleaned up. This was a very time consuming project since there were several areas that had to be reviewed on all of these records including; Checking Class Scheme is MAGAUTO if copies to Add to Catalog is “0” or LCPER if “1”.  Class status should be Active, correct label in Enumeration pattern, Form of name is correct, all listing Linked to a control and removal of blank or eResource links, fiscal cycle is correct, and the holding code is correct.

Temporary Serials on Monograph record clean up

There were 199 Temporary Serials on Monograph record that had to be reviewed and deleted or revised. 

Set up all the subject tags in the Sirsi configuration as well as the link in the All SCILS Library catalog.

This involved the tagging 1128 individual serial titles as well as making corrections to call numbers, class scheme, and format types as needed.  When poorly catalogued serials were discovered, schools were contacted to transfer to the better catalogued records or download replacement records.

OPAC Links Added to libraries websites

9 Schools’ OPAC/Serial Subject links were added.  Each school had the option to customize the list for their individual needs.

OPAC Stats

Mary researched and developed a method to pull the OPAC stats for each member and pulled the information for the last 3 calendar years.  The process of pulling the month by month stats for the past three years for comparison has been completed and posted online. 

Blackboard Training Updates

New modules have been completed including Serials, Acquisitions, and Circulation.  A major redesign and reorganization was started to make Blackboard more user friendly including the addition of annotation, time and pages.

SIRSI Help Procedures

There were 45 new procedures posted on the SIRSI help page.  The 67 procedures that were previously posted have all been reviewed and modified for JAVA 3.2.

New Policies

The Serials policy was finalized and approved.  The rough draft of Acquisitions has been completed and is being polished for approval process.
